Privacy Policy

This policy covers the information Foothills Group Inc. collects when you enter one of our event draws or fill in a form on this site. It is written to Alberta's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect, and why
When you enter a draw we ask for your name and email address, because we cannot tell you that you won without them. Company name and mobile number are optional and you can leave them blank.
We also ask a few short questions about the work you do, your part in equipment buying decisions, and whether you would like to try a machine. We use those to understand who is at these events and to decide what to show people. Answering them is not a condition of entering.
Alongside that we record technical information your browser sends: the page you arrived from, the campaign code on the sign you scanned, your browser type, the country your connection appears to be in, and your IP address at the moment you gave consent. The IP address is kept for one reason only, which is to be able to show when and from where a consent was given if anyone ever asks.
What we do not do
We do not sell your information. We do not rent it, trade it, or pass it to anyone for their own marketing.
Marketing email, and how consent works here
Entering the draw and agreeing to hear from us are two separate things, and the form treats them separately. The newsletter checkbox starts unticked, and leaving it unticked does not affect your entry in any way.
If you do tick it, we record the exact wording you were shown, along with the date and time. Canada's anti-spam law (CASL) puts the burden of proving consent on the sender, so we keep the evidence rather than just a yes or no.
Every commercial email we send carries our name, our mailing address and a working unsubscribe link. You can withdraw consent at any time, either through that link or by emailing hello@foothillsgroup.ca. We will action it promptly and it costs you nothing.
Where the information is stored, and who else can see it
Your information is stored outside Canada. We are telling you plainly because Alberta's PIPA requires it.
- Cloudflare runs this form and its database. The database region is Western North America, which means the United States. There is no Canadian region available for it.
- Pipedrive is our customer record system, and your details are sent there so a person on our team can follow up. Pipedrive stores data outside Canada.
Information held outside Canada may be accessible to the courts and law enforcement of the country it is held in, under that country's laws. Our service providers are bound by contract to protect it and to use it only to provide the service to us.
How long we keep it
Draw entries are kept for two years from the date of the event, so we can honour the draw, answer questions about it and keep a record of consent. If you have asked to hear from us, we keep your contact details and your consent record until you withdraw that consent, and for two years afterwards as proof that the consent existed. After that it is deleted.
Your rights
You can ask us what we hold about you, ask us to correct anything that is wrong, withdraw a consent, or ask us to delete your information. Email hello@foothillsgroup.ca or call (403) 523-0488 and we will respond within 30 days, which is the period PIPA sets.
If you are not satisfied with how we handled it, you can contact the Office of the Information and Privacy Commissioner of Alberta.
Keeping it safe
Access to entries is limited to the people at Foothills who need it, over encrypted connections, behind a passphrase. No system is perfect and we are not going to claim otherwise, but we do not keep anything we do not need, which is the part that actually reduces the risk.
Changes
If we change this policy we will change the date at the top. Material changes to how we use information already collected will not be applied retroactively without asking you first.
